1. Purpose
This policy outlines the trade terms and fair use practices that govern all procurement activities at ProcureEaze. It ensures that all transactions are conducted ethically, transparently, and in compliance with applicable laws and regulations, including but not limited to:
- Incoterms® 2020 as defined by the International Chamber of Commerce
- U.S. Federal Acquisition Regulation (FAR)
- Trade Agreements Act (TAA)
- UK Public Contracts Regulations

2. Scope
This policy applies to all trade transactions and the use of ProcureEaze’s resources, including:

3. Trade Terms
3.1 Incoterms® Compliance
ProcureEaze adheres to the Incoterms® 2020 rules, which define the responsibilities of sellers and buyers in international transactions. These terms specify who is responsible for paying for and managing the shipment, insurance, documentation, customs clearance, and other logistical activities. Trade.gov
3.2 Standardized Trade Terms
All procurement contracts must include standardized trade terms that clearly define the responsibilities of all parties involved. This includes payment terms, delivery schedules, and quality standards.
4. Fair Use
4.1 Ethical Use of Resources
All employees and partners must use ProcureEaze’s resources ethically and responsibly. This includes adhering to company policies on data usage, avoiding unauthorized distribution of proprietary information, and using company tools for their intended purposes only.
4.2 Compliance with Copyright LawsProcureEaze respects intellectual property rights and complies with all applicable copyright laws. The use of copyrighted materials must fall within the bounds of fair use, which considers factors such as the purpose and character of the use, the nature of the copyrighted work, the amount used, and the effect on the market value of the work. 5. Responsibilities
- Employees and Contractors: Must understand and adhere to all trade terms and fair use policies.
- Procurement Team: Responsible for ensuring that all procurement activities comply with this policy.
Legal and Compliance Department: Oversees the implementation of this policy and addresses any violations.
6. Violations
Violations of this policy may result in disciplinary action, including termination of employment or contracts, and legal action where appropriate.
7. Review and Updates
This policy will be reviewed annually and updated as necessary to reflect changes in laws, regulations, and company operations.
